WebFunnel Functions
WebFunnel is a powerful web-based solution to manage your sales activities and sales forecasts.

Dynamic Forecasts
A funnel summary table shows the most relevant information for a Project or sales opportunity, including the
Account Manager, Primary Contact, Category or Type, Region, Timing and Contract Value.
Various filter settings can be applied. For instance, you may wish to see all Projects with the Forecast Flag set to
'Yes', for Account Manager 'Mary' in the 'West' Region expected to close in the next quarter.

Graphs and Charts
A number of graphs and charts can be created in the new W3C standard Scalable Vector Graphics (SVG).
You can view your accounts in a traditional 'funnel' view, with prospects entering at the top and gradually trickling
down the funnel towards closed contracts. An example of a funnel graph is shown to the right.

Define Sales Objectives
You can define sales bookings and revenue objectives by month, quarter and year.
This information is used to measure your progress towards achieving the goals.
You can measure against both Actual and Forecast Sales. This allows you to quickly identify situations
when you are likely to deviate from the expected results.

Chart Actual against Target
You can review Actual and Forecast sales bookings and revenues against your Target by month, quarter and year.
The year definition is automatically adjusted to reflect your Fiscal Year.
In addition to a tabular view, you can view your progress in an SVG chart.

|
Daily Sales Agenda
You can view the daily activities for yourself and your sales team.
Invite your colleagues to participate in meetings and other shared events. WebFunnel automatically checks whether
there is a time conflict with any of the participants.
The meeting particpants are automatically notified via email.

|
Deliverables
You can define project Deliverables, such as products, services and cost items which make up a sales opportunity.
You can enter List Price, Cost and Margin for each Deliverable.
When you assign Deliverables to a sales opportunity, a blended gross margin is automatically calculated. The Deliverables
information is also used to calculate monthly shipping forecasts for all your product categories.

Revenues
You can track your Sales Revenues by Deliverable and Month.
The Revenue information is displayed by sales opportunity, as well as a company total across all sales.
Gross Margins are shown for each Deliverable of a sales opportunity, average value for the sales opportunity, as well
as a blended gross margin for the entire company.
Thanks to the powerful filter options, this information can be tracked by Account Manager, Account, Region, Forecast
Flag, etc.

Automatic Quotations
The WebFunnel can automatically create boilerplate quotations for a sales opportunity, based on the Deliverables
and the Pricing that you have entered into the system.
The quotations are presented in HTML format and can be accessed by your customer without having to log onto the
system. Customers can only see their own quotations.
The boilerplate may include links to other resources like product documentation, legal contract documents, etc.

Task Management
You can create and assign Project related Tasks to assist you in the Sales Process. Tasks can be Accepted or Rejected.
Tasks have a Start Date, Due Date, Promised Date and Completion Date. You can monitor the percent completion of Tasks
in 10% intervals.
The WebFunnel also supports General Tasks, which are not linked to a specific opportunity.
To plan your activities, you can create private To Do lists for yourself which are hidden from other users.

Custom Database Fields
You can create your own database fields 'on the fly' for Account, Contacts and Project tables.
The fields can be text, picklist, smartlist, numeric, currency integer, currency decimal or dates.
Custom Fields can be designated as mandatory. This condition will be enforced during record creation and modification.
You can filter and sort based on the newly created Custom Fields. The Column management feature for Funnel Tables also
controls the display of Custom Fields.

Email Automation
When you enter a new event into the WebFunnel, you can automatically send the event information to a customer,
internal user or email group.
If you wish, you can send email messages to a customer from the WebFunnel in HTML format.
Email messages which were created or sent outside of the WebFunnel, can easily be entered by a simple drag and drop
operation from your email program.
When you assign new Tasks to your colleagues, they are also automatically notified via email.
Thanks to the Email Automation feature, your email system and the WebFunnel will remain synchronized without the
need for duplicate data entry. You have full control of which information will be shared, so that you do not
unnecessarily clog up the sales database.

Email Trail
You can engage in an exchange of information with your customer via emails in HTML format.
All new messages are automatically logged in the WebFunnel database.
At the same time, the participants are updated with an easy-to-use email trail showing the previous messages of
the email trail.
For better overview, the email messages are color coded to indicate whether they were internally (vendor) or
externally (customer) generated.

Accounts and Subaccounts
You can define a number of customers or Accounts and specify their address and contact information. Accounts can
be categorized by Account Type and can be given an Account ID created in other computer systems.
The Accounts are linked to the sales opportunities, referred to as Projects.
Subaccounts are descendants of Accounts which can have their own Projects and Contact names. This is useful to manage
clients with multiple departments, or a hierarchy of distributors.

Contacts
Contacts are defined at the Account or Sub-account level. Data can be entered for First Name, Last Name, Title,
Phone, Cell, and Email address.
For every Project, you can specify a Primary Contact name.
A handy feature is the direct link to phone numbers from WAP compliant cell phones.
There is hyperlink to your email program for all contacts, which have an email address. Alternatively, you can send
them emails directly from the Create Event page inside the WebFunnel.
When working with sales opportunities, you can access the relevant contact information with a single click. There is
also a contact table, listing all contacts across all Accounts and Sub-accounts.

Advanced Filters
Advanced filters can be created for most fields of the funnel tables.
Multiple criteria can be applied using AND/OR statements.
There are Advanced Filters for both string and time fields.
|
|
Events
You can create new Events for a Project to keep track of the project history.
If you wish, you can designate an Event Type or a Hot List status for your event.
Each Event can have a URL link, for instance to a web site, or a locally stored document.
When you create an Event, you can specify the next Follow Up date for this opportunity.
In order to easily find important information, you can filter on text contained in the Event descriptions.

Project Details
With a single mouse click, you can view all the Project Details for a certain opportunity. This information includes,
all previous customer Events and the current sales status.
You can filter to only include Events of a certain type, which occurred during a certain time period or
which include a certain Keyword.
For each Event listed, you can see the author, the date and the Event Type.
In addition to the Events, the Project Details include a summary of all the Tasks related to this opportunity.

Embedded Hyperlinks
The WebFunnel supports both Implicit and Explicit Hyperlinks to make it easy to navigate in hyperspace.
In this example, you see Implicit Hyperlinks in the body text for web site and email addresses. The author of this
Event simply entered pure text and the program automatically created the appropriate hyperlinks.
At the bottom of the Event description, you will find an Explicit Hyperlink pointing to a Purchase Order. Explicit
Hyperlinks are useful to link to documents and other resources which are not URL or email addresses.

Funnel Report
The Funnel Report includes the Funnel Table followed by the Project Details for all opportunities contained therein. This
is a convenient method to quickly review not only the current forecast, but also the underlying events which form the
basis of the forecast.
Combined with basic or advanced filters, the Funnel Report can describe all activities for a certain Account Manager
during a specified time period. This is an excellent tool for a Sales Manager to review the performance of the Sales
Team.

Hot List
Important events can be given Hot List status. The Hot List items are presented in a format similar to the Funnel
Report, except that only Projects with Hot List items are included.
Using Hot Lists is a great way to avoid the e-mail mania that plagues so many organizations today.
Simply flag an event as a Hot List item and your colleagues will be brought up to speed.
Once you have seen a Hot List entry, it will be removed from your personal Hot List. Naturally, the Events still remain
in the Sales Database for perusal in the traditional way.
Hot Lists are supported also for the Mobile HTML and WAP Clients.

History Log
The Web Funnel keeps track of changes in probability, timing, value and priority, so that you can easily go back and
review past history.
Every update has a time stamp and includes the author of the change.
There are extensive filtering options to make it easy to find exactly what you are looking for. For instance, you can
filter on Author, Log Type, Time, Date, Account and Project Name.

Column Control
Each user can specify which Funnel Table columns he or she wishes to see.
In addition, the user can define how many records will be presented on a single page. In this way,
unnecessary cluttering of the tables can be avoided.

|
Foreign Languages
Labels, text strings and user prompts are managed in separate XML documents.
This capability gives you the option to enter new text strings for you local language.
This is an important feature, even if you only work in the English language. You can change the labels and prompts to
meet your internal requirements.
Interestingly, you can use multiple languages at the same time for the same WebFunnel database. For instance, you may
have Spanish or French speaking users in remote sales offices who much prefer to interact with the database in their
own language.

Currency Formats
You can define the preferred currency display format for your company.
The currency definition includes prefix, thousand separator, decimal separator
and suffix. The decimal separator will also be used for fractional values of the gross margin percent.
As for the foreign languages, the currency preferences are defined on an individual basis. For example, a New York based
employee will see $123,355.44, while the same value displayed to a worker in Montreal is 123.355,44$.
The automatic quotations have their own language and currency definitions. You may prefer a simple $ prefix for internal
use, while the more explicit USD$ may be better suited for your price quotations.

|
Archive
Inactive Accounts and Projects, which may still contain important or interesting information, can be
moved to an Archive rather than being deleted outright.
You can quickly retrieve the Accounts and the Projects from the Archive as needed in the future.
|
|
Foreign Currencies
You can work with up to 20 foreign currencies. You can update your currency exchange rate in one place and automatically
update the forecast for all projects in the affected currencies.
|
|
Supply Chain Integration
You can provide access to multiple companies to your Web Funnel. For instance, sometimes it is useful to have
important distributors access and update Project information.
On the Company page, you can define the level of access that the various companies have to your system. In the
case of a Distributor, you may want to limit the access to their own accounts only. In this way, they cannot
view or access information for other distributors.

Setup Page
A multitude of system parameters and field definitions can be specified by the Manager on the Setup Page.
These include Probability Definitions, Forecast Flags, Event Types, Account Types and mandatory fields for a Project.
A powerful feature is the ability to specify which Forecast Flags should make up the 'official' forecast. For instance,
you may have a Forecast Flag called 'Yes' and another one named 'Backup'. With a single click in the Setup table, you
can move all opportunities which have the 'Backup' designation into the official forecast.

Import and Export
Account, Contact and Project information can easily be imported and exported via Excel™
In this example, the Funnel Tables have been exported to an Excel™ spreadsheet, capturing the column headings, as
well as the table content.
Thanks to the Import feature, you can quickly populate the WebFunnel database with your own information.

|
HTML and WAP Client
The WebFunnel supports HTML3.2 mobile clients, like the iPaq Pocket PC and the RIM Pager, as well as
WAP 1.1 capable cell phones.
Sales representatives can use these devices to access and update event information from the field.

|
Offline Laptop Client with Sync
Windows equipped laptop computers can operate with the full WebFunnel functionality in disconnected mode.
When the user connects with the central server over the Internet, he can synchronize the local database with the
central database.
